Clay Middle School PTO Mission Statement:

To bring together parents, teachers, and staff to promote the welfare of our children, school and community; to establish a close working relationship with each other, to cultivate fellowship among the organization members; and to contribute to the highest possible standards of the home and the school.

The Clay Middle School PTO is dedicated to supporting our students, staff, and school community through volunteerism, family engagement, staff appreciation, and student-centered programs and events throughout the year.

Our goal is to foster a positive and connected school community by bringing together parents, guardians, teachers, staff, and administrators to support the educational experience at Clay Middle School. We strive to create opportunities that encourage collaboration, school spirit, and meaningful involvement for all families.

All parents and guardians of Clay Middle School students are automatically considered PTO members — no membership dues required. Instead of dues, we encourage families to get involved by volunteering their time, supporting PTO events, participating in fundraisers such as Champions of Clay, and helping us continue to provide enriching experiences for students and staff.

Volunteers are an important part of the Clay Middle School community. From Volunteering for the PTO and PTO events & staff appreciation to Media Center support and student activities, there are many ways to get involved and make a difference throughout the school year. Whether you volunteer at events, donate items, attend activities, or simply stay connected, your support makes a difference and helps strengthen the Clay community.

What does the PTO do for Clay Middle?

The Clay Middle School PTO supports students, teachers, staff, and the school community through fundraising, volunteerism, student enrichment, hospitality, and school-wide programs throughout the year.

Through the financial support of our Champions of Clay fundraiser and the generosity of our families and community partners, the PTO is able to provide meaningful opportunities and experiences that directly impact students and staff.

Some of the ways the PTO supports Clay Middle School include:

After school clubs funding: Debate club, Robotics, Pep Band, Bass Fishing Club, Pickleball Club, C3, Equity Alliance, Jewish Mensch Club, Photography club, Taylor Swift club, D & D Club, Winter Warriors, Ping Pong Club, AND MUCH MORE!

PTO has also been able to provide grants for special items throughout the school such as added water filtration stations, benches in athletic hallway, added walkie talkies for school safety, Security Shades, Moby Max online math tool, fees for Teacher conferences focused on Sciences, Foreign Languages and Physical Education enhancements. We are continuously working with the wonderful Administration Team at Clay to make enhancements and achieve other needs as they arise.

Job Descriptions

EXECUTIVE BOARD POSITIONS

All Board Members attend the once monthly Executive Board meetings

President

Presides over all PTO meetings. Serves on the Carmel Clay Schools’ Coordinating Council and is a liaison to the School Board. Manages master school calendar for PTO. Manages major school fundraiser at start of year and coordinates committee activities. Advances to Past President.

Vice President

Presides in the absence of and assists the President as needed. This position is a 3-year commitment and advances to President, then advises as Past President. Serve on Coordinating Council and works with Treasurer to monitor expenditures and budget.

Secretary

Maintain accurate official minutes of Executive Board & General meeting of the PTO. Submit and prepare minutes to Board for approval.

Treasurer & Assistant Treasurer

Works together to maintain an accurate record of receipts and expenditures. Disburses all funds; prepares budget; works closely with school staff. Gathers information needed for tax returns and accountant review.

Responsible for the collection of monies from all Community Retail projects, including working with PayPal and Google Forms. Assists with preparation of budget.

Communications DIRECTOR

Responsible for all correspondence, including maintaining and updating website, online calendar and social media posts. (Social Media & Newsletter duties can be shared with Exec Board members as needed).

Past President/Advisor

Serves in an advisory capacity on the Executive Board. Was formerly Vice President and then President.

The leadership team at Clay Middle School is comprised of volunteers who sit on the Executive Board and the Board of Directors. The Executive Board meets monthly and consists of the above positions. The Executive Board is encouraged and/or expected to attend the monthly PTO meetings and consists of the above positions. All positions are volunteer and must be approved at the end of the prior school year.

Any reimbursement request must be submitted to the Treasurer prior to June 15 of the current school year. Any reimbursement check not cashed within 6 months of issue date will forfeit funds and not be reissued.

Volunteers play an important role in helping make Clay Middle School a positive, connected, and successful community for students and staff. Whether you can give a few hours or help throughout the year, every contribution makes a difference.

The Clay Middle School PTO offers many opportunities to get involved through student events, staff appreciation, fundraising activities, hospitality, and special programs. Families can also support students directly by volunteering in the Clay Media Center.

We encourage all parents and guardians to find a way to get involved and help strengthen the Clay community. Volunteering is a great way to stay connected, meet other families, and support our students and staff.

Clay Middle School PTO Spirit Store is here! Show your Trojan pride all school year long!

For the first time ever, the Clay Middle School PTO Spirit Store will remain open throughout the entire school year! Families can shop for Clay apparel and spirit wear beyond the back-to-school season, with orders processed in batches throughout the year.

Even better, a percentage of every purchase goes directly back to the Clay PTO, helping us support Clay students, teachers, staff, programs, and activities.

2026–2027 Order Deadlines

Deadline 1: Order by August 31

Delivery expected mid-to-late September

Deadline 2: Order by October 1

Delivery expected late October

Deadline 3 – New Items Added: Order by November 8

Delivery expected late November or early December and guaranteed for the holidays

Deadline 4: To be announced

Orders are typically ready to ship or pick up approximately three weeks after each order deadline.

Shipping & Pickup

Orders being shipped directly to your home will be sent via UPS Ground.

For in-person pickup, a Promotions Plus team member will contact you when your order is ready. Orders can be picked up at Promotions Plus Monday through Friday from 8:30 AM–5:00 PM.

Want your order delivered to Clay Middle School instead? At checkout, choose pickup at Promotions Plus to avoid shipping charges and write “PICK UP AT CLAY MIDDLE SCHOOL” in the Notes section.
