PTO has also been able to provide grants for special items throughout the school such as added water filtration stations, benches in athletic hallway, added walkie talkies for school safety, Security Shades, Moby Max online math tool, fees for Teacher conferences focused on Sciences, Foreign Languages and Physical Education enhancements. We are continuously working with the wonderful Administration Team at Clay to make enhancements and achieve other needs as they arise.  

EXECUTIVE BOARD POSITIONS

All Board Members attend the once monthly Executive Board meetings

President 

Presides over all PTO meetings. Serves on the Carmel Clay Schools’ Coordinating Council and is a liaison to the School Board. Manages master school calendar for PTO. Manages major school fundraiser at start of year and coordinates committee activities.

Vice President 

Presides in the absence of and assists the President as needed. This position is a 3-year commitment and advances to President, then advises as Past President. Serve on Coordinating Council and works with Treasurer to monitor expenditures and budget.

Secretary 

Maintain accurate official minutes of Executive Board & General meeting of the PTO. Submit and prepare minutes to Board for approval.

Treasurer & Assistant Treasurer

Works together to maintain an accurate record of receipts and expenditures. Disburses all funds; prepares budget; works closely with school staff. Gathers information needed for tax returns and accountant review. 

Responsible for the collection of monies from all Community Retail projects, including working with PayPal and Google Forms. Assists with preparation of budget.

Communications Chair 

Responsible for all correspondence, including maintaining and updating website, online calendar and social media posts. (Social Media & Newsletter duties can be shared with Exec Board members as needed).

Past President/Advisor 

Serves in an advisory capacity on the Executive Board.

The leadership team at Clay Middle School is comprised of volunteers who sit on the Executive Board and the Board of Directors. The Executive Board meets monthly and consists of the above positions. The Executive Board is encouraged and/or expected to attend the monthly PTO meetings and consists of the above positions. All positions are volunteer and must be approved at the end of the prior school year.

Any reimbursement request must be submitted to the Treasurer prior to June 15 of the current school year. Any reimbursement check not cashed within 6 months of issue date will forfeit funds and not be reissued.
