Visitors
Carmel Clay Schools requires all visitors to check in using our visitor management system. When visitors enter a school building, they are required to scan their driver’s license or state identification card for a check of their record and then wear a badge issued by the system while in the school. As our visitors leave the school, they scan and return that badge to front office staff.
Background Check Information
A person who seeks to volunteer in any capacity within Carmel Clay Schools, or visit a school building during school hours, will be subject to a National Volunteer Background Check prior to being allowed to volunteer or visit without direct supervision. A National Volunteer Background Check must be completed every three years and the fee will be paid by the volunteer/visitor. Guardians of students who attend multiple Carmel Clay Schools only need one criminal background check. School administration will notify the person when the criminal background report is complete.
********$12.95 Fee Applies. If you have lived outside of Hamilton County or the state of Indiana, there may be additional costs associated with the background request. Additional fees may apply dependent upon applicant address history, and verification of potential criminal history information for the volunteer and/or court access fees. SafeVisitor Solutions/ SafeHiring Solutions will reach out to you via email with request for additional funds if applicable.
If an individual is arrested during the time frame of their approved status, the charges will be evaluated and cross-referenced with our background check approval list to determine if they are still eligible to volunteer within Carmel Clay Schools.
CRIMINAL HISTORY BACKGROUND CHECK
As part of the background check process, you are required to view a short anti-bullying video. After viewing the video, please check the box to indicate that you have completed this step. Building Volunteer Information
Parent and community volunteers are valuable resources in the Carmel Clay Schools community. Volunteers may be utilized in various ways in our building, including special events, in-classroom assistance, media centers, and lunchroom/recess monitors.

All volunteers for Carmel Clay Schools must submit and pass a background check.

All volunteers must check in and wear a visitor badge while on campus.

All volunteers should be assigned a direct supervisor from the building and have clear instructions on volunteer duties.
- When volunteering in the classroom, the supervisor is the teacher.
- Lunchroom and recess supervisors may be IAs or other building staff.
- PTO members may be supervisors, provided they are on-site, and one PTO volunteer has a CCS staff member assigned.

Volunteers should remain in their assigned area.

Volunteers are expected to keep all student information confidential. Federal law prohibits sharing student information without guardian permission.

Volunteers may not use their cell phones to take photos or post social media information about students. Cell phones should be placed on silent mode when inside the school building.

Volunteers must use staff restrooms only. Please ask front desk staff for locations.

Volunteers must adhere to all rules and policies for the building and school corporation.

Please schedule appointments with teachers for another time. Impromptu teacher meetings are not allowed.
When volunteering, please find alternative care for younger children.
